    The Challenge: Missed Renewals and an Inefficient Process

    A public institution of higher education, consisting of tens of thousands of students each year, was facing the challenge of how to effectively alert certain Contract Insight users when a contract was up for renewal.  Deadlines and payments were being missed, causing process bottlenecks, and the university felt they were losing control of contract timelines. 

    It’s important for universities to be aware of contract-related deadlines as they deal with countless vendors, partners, and other counterparties.  Ensuring the university’s staff gets notified of renewal dates was extremely important to the university and they needed a solution that would provide that functionality.

    The Solution: Contract Workflow Configurations and Alerts

    Roman, a Contract Insight Implementor at CobbleStone, helped the university by showing them how to easily configure their contract workflow criteria so that when a contract is up for renewal the correct parties are notified.  The university was able to apply this knowledge and recreate additional steps independently, adjusting their system as needed. Now, every time a contract is up for renewal, the appropriate parties are notified via email, and in their contract management system dashboard, giving them ample time to take action.  This educational institution can now focus on workday tasks with ease, knowing they will be notified next time they have a contract renewal approaching.
